Step 1: Make labels your pipeline stages
Rename the labels to the stages a deal actually moves through. For a property agent that is something like: New lead, Viewing booked, Offer made, Closed. One label per chat, moved the moment the deal moves. The discipline is the product here: a label you update sometimes is a pipeline you can trust never.
Step 2: Work one label every morning
Filter to one stage and read it as a to-do list. Everyone in New lead gets an answer. Everyone in Viewing booked whose viewing has passed gets moved or chased. Save your chasers as quick replies so the routine costs minutes. Ten focused minutes a day beats a CRM you stopped opening in week three.
Step 3: Know where this breaks
Labels and a morning routine are a real system, and for a quiet month they are enough. They break in three places:
- Labels remember; they do not act. A chat labelled Viewing booked will sit there silently forever if the customer goes quiet. Nothing chases them but you.
- Nothing answers while you are busy. The lead who messages during a viewing gets silence until the viewing ends, and the evening lead gets silence until morning.
- It all lives on one phone, and the engine is your thumbs. The system works exactly as hard as you do that day, which is the thing a CRM was supposed to fix.
